These terms govern your use of PropMind. They cover what we do and don't do, what you may and may not do, how payments work, what happens when something goes wrong, and where disputes are resolved.
By signing up, verifying your email, or paying for a subscription, you agree to these terms. If you don't agree, don't use the service. If you trade with money you can't afford to lose, please don't use the service either.
01Who we are
PropMind ("PropMind", "we", "us") is a software service that helps independent traders enforce their own pre-set risk rules in real time across funded prop-firm accounts and personally-owned brokerage accounts. The service is operated by PropMind Technologies, based in Addis Ababa, Ethiopia.
We do not take custody of your money. We are not a broker, a custodian, an exchange, or an investment adviser. PropMind is a discipline tool that reads market and account data through read-and-trade APIs you authorise, and acts on those accounts only within the limits you set.
02What the service does
PropMind monitors connected trading accounts and applies the guardrails you configure — for example, a maximum daily loss, a maximum number of consecutive losing trades, a time window during which trading is locked out, or a forced cooldown after a loss-streak.
When one of your rules is about to break, PropMind may, depending on your configuration:
- Send you a warning notification.
- Display a full-screen pre-trade interrupt inside the PropMind app.
- Issue an instruction to your connected broker, via that broker's API or via an authorised third-party integration (currently MetaApi), to close positions, cancel open orders, or block further order entry for a configured duration.
PropMind also provides a journal, a morning-briefing flow, an AI trading coach, an analytics dashboard, and a tilt-score signal. Specific features available to you depend on your subscription tier (see Section 06).
03PropMind is not financial advice
Nothing in PropMind is investment advice, tax advice, legal advice, a recommendation to enter or exit a position, or a guarantee of trading performance. The AI coach, the tilt score, the morning briefing, the journal insights, and every analytical surface in the product are tools to help you reflect on your own decisions — not professional guidance.
Trading leveraged financial instruments — CFDs, futures, forex, equities on margin, crypto — carries substantial risk of loss. You can lose more than your deposit. You should consult a qualified professional before opening a trading account or making any trading decision. Past performance does not predict future results.
04Eligibility and account
You may use PropMind only if all of the following are true:
- You are at least 18 years old.
- You can form a binding contract under the laws of your jurisdiction.
- Using PropMind, and the trading activity you connect to it, is legal where you live and where you trade.
- You are not on a sanctions or denied-persons list maintained by the United States, the European Union, the United Kingdom, or the United Nations.
- Your prop firm's terms of service permit the use of third-party risk-management tools — this is your responsibility to verify before connecting a funded account.
You are responsible for the security of your PropMind account, including your password and any two-factor recovery codes. Notify us immediately at legal@propmind.app if you believe your account has been accessed by someone else.
05Broker connections and trading authority
When you connect a broker account to PropMind you grant us — and our integration partners — limited authority to:
- Read your account balance, equity, open positions, and order history.
- Place close-position and cancel-order instructions on that account, but only when one of your configured rules triggers, or when you manually press a control inside PropMind.
You can disconnect any account at any time from your dashboard. When you disconnect, PropMind stops enforcing rules on that account within seconds and discards the broker credentials we held for it.
What we cannot do: PropMind has no authority to open new positions on your behalf for directional gain, withdraw funds, change broker passwords, or move money between accounts. Our trading authority is bounded to closing risk, not taking risk.
Connecting an account does not transfer custody. Your money remains with your broker. PropMind never holds client funds.
06Plans, free trial, and pricing
New accounts get a 15-day free trial of PropMind Pro with no payment method required. The trial begins the moment you verify your email address. You can use every Pro feature during the trial.
When the 15 days end and you have not chosen a paid plan, your account drops to the free tier automatically. You will not be charged. Your journal entries, rules, and connected accounts stay intact; live rule enforcement pauses until you subscribe.
Paid plans (Core, Pro, Elite) bill in advance per billing period (monthly or annual). Prices are shown on propmind.app/pricing in US dollars and are inclusive of any conversion fees added by your payment provider. Annual plans bill once per year at the discounted rate.
We may change pricing for new subscriptions at any time. If we change pricing for an active subscription, we will notify you by email at least 30 days before the change takes effect on your next renewal, and you may cancel before the new price applies.
07Payments, refunds, and cancellation
We accept payments via two providers: Stripe (cards and supported wallets) and NOWPayments (crypto, including USDT, BTC, ETH and others; you may pay from Binance, Coinbase, or any self-custody wallet). PropMind itself never stores card numbers or wallet private keys.
Cancellation
You can cancel at any time from your billing settings or, for Stripe, the Stripe customer portal. Cancellation takes effect at the end of the billing period you have already paid for — PropMind continues working through that date.
Refunds
We offer a 7-day refund window on first-time paid subscriptions: if you upgrade from the free trial to a paid plan and request a refund within 7 days of that charge, we will refund the full amount, no questions. After the 7-day window we do not refund partial periods.
Crypto payments are refunded to the wallet address you paid from and are subject to network conversion rates at the time of refund. Network fees are not reimbursed.
Failed payments
If a renewal payment fails, we retry it for up to 7 days. If it still fails, your subscription downgrades to the free tier and live enforcement pauses until you update your payment method.
08Acceptable use
You agree not to, and not to help anyone else:
- Resell, sublicense, or white-label PropMind to third parties without a written agreement from us.
- Use PropMind to evade rules a prop firm or broker has placed on your account, or to misrepresent the source of your trading decisions to a funder.
- Reverse-engineer the service, scrape it at volume, attempt to exfiltrate other users' data, or probe it for security weaknesses without our written authorisation.
- Use PropMind for any market-manipulation activity, including spoofing, layering, wash trading, or coordinated activity in violation of any applicable market regulation.
- Submit deliberately false information during signup, email verification, or KYC-style checks if we introduce them.
- Upload to the journal, the AI coach, or any other surface any content that infringes a third party's intellectual property, that contains malware, or that is unlawful in your jurisdiction.
We may suspend or terminate accounts that breach these rules. Where a breach is unambiguous and ongoing (e.g. automated scraping), we may act first and explain after. Where it is ambiguous, we will reach out before suspending.
09AI coach and automated suggestions
The PropMind AI coach is built on large language models. Its output is generated probabilistically from your trading history, your journal entries, and patterns it has been trained on. It may be wrong. It may hallucinate facts about your account. It may contradict itself between sessions.
You are solely responsible for any trading decision you make, including decisions that touch on something the AI coach said. Treat its output as a thinking partner, not a source of truth. When the coach suggests an action — "you might want to halve your size this week" — you decide whether to act on it. PropMind will never place a directional trade based on AI coach output.
Conversations you have with the AI coach are stored in your account so the coach can build context over time. You can delete a conversation at any point. See the Privacy Policy for full details on how this data flows to and from our model provider.
10Service availability and limits
We work hard to keep PropMind running 24/5 across the global trading week, but we do not promise uninterrupted, error-free, or real-time service. Outages happen — at our infrastructure, at the broker, at the MetaApi handshake layer, on your internet connection, on the exchange itself. When PropMind cannot reach your account, it cannot enforce your rules.
We notify you by email and inside the app when we detect a disconnection on a connected account, and we mirror service-wide incidents on a public status surface (link in the app). You should not treat PropMind as your sole line of defence against a catastrophic trading day; broker-side hard limits (daily-loss caps, max drawdown enforcement) remain the primary backstop where they exist.
11Beta and experimental features
From time to time we ship features marked "Beta", "Experimental", or "Early Access". These features may change, break, or be withdrawn without notice. Performance under beta features is not covered by the rest of this agreement. Use them with eyes open.
12Intellectual property
The PropMind software, the brand, the visual design system, the rule engine, the AI prompting layer, and every piece of content we publish on propmind.app are our intellectual property or licensed to us. You receive a non-exclusive, non-transferable, revocable licence to use them for your personal trading discipline while your account is in good standing.
Your trading data, your journal entries, and any conversations you have with the AI coach remain your content. You grant us a limited licence to process that content as necessary to operate the service (run the rule engine on your trades, generate coach responses, render your journal). That licence ends when you delete the content or close your account. See the Privacy Policy.
13Third-party services
PropMind depends on third-party providers. Their terms apply to your use of the integrated portion of their service:

If one of these partners suspends or removes our integration with them, the affected feature may stop working until we route around it. We will tell you when this happens.
14Disclaimers and limitation of liability
The service is provided "as is". To the maximum extent permitted by law, we disclaim every implied warranty — merchantability, fitness for a particular purpose, non-infringement, accuracy of analytics, suitability for any regulated activity.
To the maximum extent permitted by law, PropMind, its officers, employees, contractors, and partners are not liable for:
- Trading losses on any account connected to PropMind, including losses caused by a missed rule trigger, a delayed lockout, a failed close-position instruction, or a third-party broker or API outage.
- The loss of a funded-account challenge, the failure to pass a prop firm evaluation, or any breach of a third-party prop firm's rules.
- Indirect, incidental, special, consequential, or punitive damages, including lost profits, lost data, or reputational harm.
Our aggregate liability for any claim arising from your use of PropMind is capped at the greater of (a) USD 100 or (b) the amount you paid us for the service in the twelve months immediately before the event giving rise to the claim. Some jurisdictions do not allow these limitations; in those jurisdictions our liability is limited to the smallest amount permitted by local law.
15Your indemnity to us
You agree to defend and indemnify PropMind against any claim brought by a third party (including a prop firm or a broker) arising out of your use of the service in violation of these terms, in violation of that third party's rules, or in violation of applicable law. We will tell you promptly if such a claim is made, and you can choose to control the defence, with our reasonable cooperation.
16Suspension and termination
You can delete your account at any time from your settings. Deletion is permanent — your journal, rules, and connected accounts are removed within 30 days. Some records (billing history, audit logs of admin actions taken on your account) are retained for the periods required by applicable tax and accounting law.
We may suspend or terminate your account if you breach Section 08, if your payment fails past the retry window, if we are legally required to, or if your continued use poses a security or compliance risk we cannot remediate. When termination is for cause we will explain the reason where doing so is lawful.
17Governing law and disputes
These terms are governed by the laws of Ethiopia, without regard to its conflict-of-laws rules. Any dispute that cannot be resolved through good-faith discussion within 30 days will be brought exclusively before the competent courts of Addis Ababa.
Nothing in this section prevents either party from seeking injunctive or equitable relief from any court of competent jurisdiction to protect its intellectual property, confidential information, or other legitimate interests.
18Changes to these terms
We may update these terms. The date at the top of this page always reflects the most recent change. For substantive changes that affect your rights or obligations, we will notify you by email and inside the app at least 14 days before the change takes effect. Continued use after the effective date means you accept the new terms; if you don't, cancel before that date and we will pro-rate any unused paid time forward into a refund where the cancellation is for that reason.
